A "Participant to Season" form can be created by an association administrator and used to register participants directly to a competition’s season.
Select "Competition Management" in the left-hand menu, then select the desired competition and season. Click the Registration tab and Association sub-tab, then, under the Participant to Season section, you can either create a new form by choosing "Set up Form".
Edit Roles allows you to select who can register to the season. These roles include Player, Coach, Team Manager, Official and Volunteer.
Registration Period refers to the dates and time during which the registration form will be active. If participants access the form outside of this time frame, they will be unable to register.
Note: If a participant misses the registration period, it is possible to open the form by selecting a future date/time. To close the form, select a date or time which has passed.
Registration Fees can be set at a price your organisation wishes to receive from the registration. To reveal the fee set by other organisations, such as Netball Australia, select the corresponding arrow.
Note: When setting a base player fee, a physical number must be entered. If the registration is free, enter $0.00 or greater that $1.00 if you wish to charge a registration fee. When setting a fee, remember to factor in the 2.03% surcharge. For further information about setting fees, click here.
Advanced registration fees can be set (toggled on) for players based on a registrant’s age and gender. A date to calculate the age of the participant must be set to charge the correct fee instead of the standard fee. If the participant meets the criteria of multiple fees, they will be charged the cheapest amount.
Fee Variants can also be set as an alternative to age and gender fees. This enables different prices for participants e.g. Junior, Concession and Senior. Information regarding fee variants can be found here.
Custom Fields (questions) can be created for participants to capture additional information during the registration. This is a great way to capture any specific information. Information about configuring custom fields can be found here for associations or here for clubs
Note: Any existing custom fields created by Netball Australia or Member Organisation will appear on the registration form.
Products can be selected from previously added Merchandise. Information about adding merchandise can be found here. When listing pre-configured merchandise, you can also mention the maximum quantity of the product that will be available per registration.
Overview provides additional details which will be displayed at the beginning of the registration. A 500-character limit applies to each of the 'Pricing information' and 'Additional information' fields.
Terms and Conditions: Activate the toggle to enable your organisation's Terms and Conditions to be viewed on the registration form.
Note: Terms and conditions can be added by navigating to My Organisation and then selecting the Overview option from the main menu.
Registration visibility allows the registration form to either be visible or hidden on the association's main public PlayHQ Register landing page.
Changing this setting to "Hidden" won’t affect or remove the option for a participant to register using the form. It will, however, ensure that the public cannot view the registration form on the PlayHQ.com website.
Once the relevant details are complete, select Save in the upper right-hand corner.
On successfully saving the registration form settings, the settings will display in a preview tile, and a unique Registration Link for the form is generated. This link can be shared with participants who would like to register directly with the association for the season.
Registration form settings can be updated at any time by selecting the Manage button.
