Merchandise products can be created, managed, and offered for purchase to participants and teams during the registration process. The Orders Report will assist administrators to track and fulfill orders, while the Transaction Report will provide details of the purchases. The first step is to create a product.
There are two key phases of when it comes to merchandise, first you will need to create the product, then you will need to add the product to an appropriate registration form. Instructions on how to do this are found below.
Creating a Product
To begin, select Merchandise from the main menu on the left-hand side, then select Products. Once you are at the products page, you will see previously created merchandise products. Choose the ‘Add Product’ button to create a new product.
Enter the Product Name (100-character limit), and the Description (optional) will appear beneath the product name on the appropriate registration form (140-character limit). Use the Product active toggle to select whether the product is active or inactive. Active products can be added to registration forms and will display by default on the Products landing page. Inactive products cannot be added to registration forms and will not display on any registration forms.
Images of the product can be added by selecting ‘Upload Image’ with additional images added the same way. Images will accompany the product displayed on the registration form. To delete, hover your cursor over the image and select ‘Delete Image’.
Products can either be Single items (no variations) such as a ball or a whistle, or they will contain variations such as size or colour. Use the toggle to select the appropriate option. Variations will appear in a dropdown menu at the registration stage to allow for the appropriate selection.
When Variations is selected, enter the appropriate Category Title, and then enter the relevant Options (see examples below). These can be added by typing the option and separating each with a comma. Multiple Category Titles can be configured using the Add Category button.
The Stock Keeping Unit (SKU) is optional and can assist in tracking inventory. Set the price and availability for each.
Please note: There must be at least two variations in order to save.
The Fulfilment is displayed on the registration form and refers to Pick up or Delivery. Custom Fields can also be set and will be displayed in the registration form and will allow the participant to provide a response from a Dropdown menu or Text box.
Once you are satisfied with the details entered, select the ‘Save’ button in the top right-hand corner. This option will only be active when every mandatory field (including product variations) is completed.
Viewing a product
Once the product has been created, it will appear on the Products landing page. To access this, select Merchandise from the main menu on the left-hand side, then select Products. You will see the product name, variations (if applicable), the price (or price range) and the product’s status, this can be changed view Active or Inactive products, using the drop-down menu at the top of the page.
Adding Products to registration forms
Once a product has been created, and has an Active status, it can be added to any registration form. In order to do this, navigate to the Competition or Program Season, then select Registration. and then Set up or Manage the appropriate registration form.
Products can be added by searching and selecting the appropriate product from the product dropdown list approximately halfway down the page. A product can also be set as being mandatory for purchase by the participant as they register.
Once a product is added, the list can be adjusted by dragging and dropping the product to determine the order of display on the registration form. Products can be removed by selecting the bin icon.
Editing and deleting a Product
Active and Inactive products can be edited by selecting the ‘Edit’ button.
Once here, you will be able to edit each field, a product can also be deleted rubbish bin icon at the bottom of the page.
Please note: A product or variation cannot be deleted if it is being used on a registration form, or it has already been purchased. To prevent the product from appearing on registration forms, a product can be made inactive.
When a product is created and added to the registration form, a ‘Products’ tab will appear in the registration process prior to the ‘Payment & Summary’. This will include each of the relevant products included on the registration form.
