Although there is no specific capability to sell Merchandise outside of a registration, it is possible to offer merchandise year-round by utilising the Programs feature.
Before doing this, you should ensure that you have created merchandise products. For information on how to do this, click here.
Setting Up The Merchandise Program
Once you have created merchandise products, you can begin by navigating to Programs in the main menu on the left-hand side and then selecting + Add Program.
Give the program a name, such as ‘Merchandise’ and provide a brief description. Then select a Format and choose Create Program in the top right-hand corner.
Once the program has been created, add the Season. You will need to select the season name and the dates of the season (this can be modified at any time). Then select Add Season.
It is now time to create the registration form, select Set Up Form under the Registrations tab and Settings sub-tab within the season to begin this.
When completing the form, you will need to complete the relevant details. While some of the details such as age limit and custom fields may not be relevant, you will need to ensure that the registration dates are set (this can also be modified at any time). You will also need to ensure that you set a $0 registration fee for the program.
Under Products you can choose from a dropdown list or search for active merchandise products which have been previously created. When listing a pre-configured merchandise, you can also mention the maximum quantity of the product that will be available per registration. Proceed to complete the remaining details in the form and ensure that the form is Visible, then select Update & Save in the top right-hand corner.
Once completed, you will land back on the registration page. There will be a link which can be shared with the members of your organisation to take them directly to the program registration or they can search on the public PlayHQ site for your organisation.

What the registrant will see
If a search is performed, a registrant will need to navigate to the Register tab within the organisation’s PlayHQ page and choose Select from the relevant program.
On the next page, they will need to choose Get Started to begin the process. They may be prompted to log in at this point if they are not logged in already.
Once the user, role type and user’s details are completed, a $0.00 program fee will be presented. The merchandise products will appear at the next stage.
There will be a list of products to choose from with various size options available for each (if applicable). An Order Summary is also available to monitor selections. Once satisfied, selecting Continue will take them to the Payment & Summary stage to complete the purchase.
* Please Note: Like a regular registration, a 2.03% fee will be deducted when funds are disbursed to your organisation.
