In order to invite administrators to your organisation, you must be an existing authorised administrator with access to your organisation’s PlayHQ Admin Portal.
To begin this process, navigate to the My Organisation menu on the left-hand side of the dashboard and select Admins. Once you arrive on the Active Users tab, select ‘Invite new admin’
Once this option has been selected, enter the details of the administrator you wish to invite and select their level of access (further details of these can be found below).
Please note: If the administrator already has a PlayHQ account, it is best to use the existing email address. If they do not have a PlayHQ account, enter the email address that the new administrator would like to use, this will be used as the new administrator’s username when logging in to the PlayHQ Portal.
Please also ensure that the email address is a personal email and not a generic that multiple people use.
Once the required fields are complete, select the ‘Invite admin’ button, the invitee will then be sent an invite. Once the invite has been accepted, their details will then appear on the ‘Active Users’ tab.
Please note: The invitation is valid for 7 days before the status is marked as "expired", and their email invitation will no longer be valid. You can however always re-invite an admin again if the invite expires.
Role types
There are a number of role types available with various levels of access.
Affiliate Admin used to manage affiliated organisations as well as your own.
Full Access - (Clubs) administrators can access the admin portal as well as their own clubs’ details.
Full Access - (Associations) administrators can access the admin portal and only their own Association.
Electronic Scoring Admin only has permission to access the PlayHQ electronic scoring portal.
Resend the invite
To do this, navigate to My Organisation, in the main menu on the left-hand side, then select Admins. You will then arrive at the Active Users tab (you can also view Access history on the adjacent tab). Select the administrator’s Edit button to display their Admin Details page.
Once in the profile - if there is a "resend invite" option next to the revoke access button - you can use this to send them another invite. This will then expire in 7 days as per the previous invitation.
If you can't see the "re-send invite" button it means the administration invitation has been accepted and logged in.
Revoking Admin Access
If you need to remove access of an existing administrator, you can revoke their access. However, only authorised administrators can revoke another administrator’s accessed.
To do this, navigate to My Organisation, in the main menu on the left-hand side, then select Admins. You will then arrive at the Active Users tab (you can also view Access history on the adjacent tab). Select the administrator’s Edit button to display their Admin Details page.
Select the Revoke access button.
Once the pop-up appears, select Revoke user to confirm or Cancel to return to the previous screen.
Once the user has been revoked, they will no longer appear in the active user list and will no longer be able to access the organisation’s PlayHQ admin portal.
