Managing Registration Settings & Fees
Overview
As part of configuring a registration form, you will be prompted to set fees, which will be charged to participants during the registration phase. Before configuring the registration fees, please ensure that your organisation's payment details have been submitted.
Once the payment details are successfully submitted, registration fees can be set and adjusted by an administrator at any time.
Please Note: This process is the same for both Competitions and Programs.
Navigating Fee Setup for Competitions
For Associations
To begin, select Competition Management from the main menu, then choose the appropriate Competition and Season tile. Once on this page, select the Registration tab. Choose the Association sub-tab if you are registering participants directly to the Association, or the Club sub-tab if you are inviting clubs to participate in your season and participants will register directly with a club. You can then choose to either set up a new form or manage an existing form.
For Clubs
After accepting an invitation to an Association's competition season, navigate to View. Within the relevant competition season, click on Registration tab and then go to the Forms sub-tab.

For Associations
To start, navigate to Programs in the main menu, then select the relevant Program and Season tile. Once on this page, click on the Registration tab and then the Settings sub-tab. From there, you can choose to either set up a new form or manage an existing one.
For Clubs
Select Programs from the main menu, then choose the appropriate Program and Season tile. Once on this page, select the Registration tab and Settings sub-tab, then choose to either Setup a new form or Manage an existing form.
Managing Registration Settings & Fees
Once you have selected the desired registration form, scroll down to the Registration Fees section. Here, you will see any relevant Netball Australia and state member organisation fees, which cannot be edited. Below this, enter your organisation’s fee for all available roles. This is a standard registration fee charged to all participants.
Please Note: To set fees by additional criteria (e.g., age), refer to the Advanced Player Fees section below.
PlayHQ charges a 2.03% processing fee on every transaction when funds are disbursed to your organisation. To retain your original fee yield, you will need to gross up your fee by 2.03%. This fee will be automatically deducted when funds are disbursed to your organisation’s bank account.
Hint: Fees will be automatically rolled over from the previous season's registration form (e.g. Winter 2024 rolled over to Winter 2025). This can help determine the fees for the current season.
Organisations registered for GST
If your organisation is registered for GST, this should be included in the fee you set. GST will not be deducted when funds are disbursed to your bank account, but the GST included is detailed in your organisation’s transaction report. Information regarding GST can be found here or by consulting a certified accountant.
Advanced Player Fees
It allow organisations to configure fee options tailored to various circumstances, such as age, gender, and whether participants are new or returning. Administrators can choose between two options for Advanced Player Fees: "Auto-Select" and "Manual-Select".
When the "Auto-Select" option is chosen, you will need to enter the date to calculate the participant's age, age range, gender and the fee to be charged. If a participant meets the criteria for an "Auto-Select" fee, they will be charged that fee instead of the standard fee. If a participant qualifies for multiple fees, they will be charged the lowest applicable amount.
The "Manual-Select" fee option provides an alternative to"Auto-Select" fees. It allows you to set different pricing tiers based on the criteria you define, such as new and existing members, concessions, juniors, and seniors. More information on "Manual-Select" fee option can be found here.
Once you are satisfied with the registration fees that have been set (and the remainder of fields on the form), select ‘Save’ in the top right corner.
When registering, participants can see each organisation’s applicable fees.
